At the heart of Equity Properties' daily operations, the administrative team quietly keeps everything moving by managing calls, supporting clients, coordinating repairs, and keeping property managers on track. But one recurring issue kept slowing things down: a steady flow of calls from clients simply trying to update their mailing information, pulling the team away from the work that needed their full attention.
The Challenege
How might we create a solution that empowers Equity Properties' administrative team to stay focused on their work, while giving clients a simpler, more convenient way to update their mailing information? The goal was to find an approach that worked better for both sides.
My Solution
The solution was a self-service contact update form that sends automatic notifications to the administrative team upon submission. Homeowners get a fast, convenient way to update their information without making a call, and the administrative team can stay focused on their work without the constant interruption. A simple fix with a real impact on daily operations.
The Results
The contact form delivered an immediate and noticeable reduction in calls related to mailing address updates, freeing the administrative team to focus on higher-priority work. One homeowner put it best, saying they appreciated being able to submit changes after hours when the office was closed. It's a small but telling detail that speaks to a larger truth in design: the right solution doesn't have to be complex to make a real difference.
